Cancellation and Refund Policy

Effective Date: 01 October 2025

1Introduction

This Cancellation and Refund Policy outlines the terms and conditions under which cancellations and refund requests are handled for the International Conference on Community Agrobiodiversity Management (KAbCon 2025), jointly organized by the Kerala State Biodiversity Board (KSBB) and Kerala Agricultural University.

2Registration Cancellation by Participant

If a participant wishes to cancel their registration for the conference, the following policy applies:

Refunds for cancelled registrations will be processed as per the following schedule:

Please note: GST, payment gateway charges, processing fees, and any applicable transaction fees are non-refundable under any circumstances.

4No-Show Policy

No refund will be provided for participants who do not attend the conference and have not requested a cancellation as per the above guidelines. No-show registrants forfeit their registration fees entirely.

5Abstract Submission

If your registration includes an abstract submission and the abstract has been reviewed or accepted, no refund will be processed after the abstract submission deadline (October 31, 2025), regardless of whether you attend the conference or not.

6Registration Transfer

Participants may transfer their registration to another eligible attendee from the same institution or organization. Transfer requests must be submitted in writing at least 10 days before the conference start date (by December 12, 2025). A processing fee of ₹500 will be charged for registration transfers.

7Conference Cancellation or Postponement

In the unlikely event that KAbCon 2025 is cancelled or postponed due to unforeseen circumstances (such as natural disasters, pandemics, or other force majeure events), the organizing committee will provide appropriate notice and refund options. Participants will be entitled to either:

The decision of the organizing committee will be final and binding in such cases. The organizers are not responsible for any travel, accommodation, or other incidental costs incurred by participants.

8Emergency Circumstances

Refunds may be considered on a case-by-case basis for participants who are unable to attend due to serious medical emergencies, family bereavement, or other extraordinary circumstances. Such requests must be accompanied by supporting documentation (medical certificates, death certificates, etc.) and will be reviewed by the organizing committee. The committee's decision will be final.

9Refund Processing Time

Approved refunds will be processed within 15–20 business days from the date of approval by the organizing committee. Refunds will be made to the original mode of payment used during registration. Please allow additional time for the amount to reflect in your account depending on your bank's processing time.
